How we look after your information

Who we are

Horizon Web (Pty) Ltd, registration number 2026/772465/07 ("Horizon Web", "we", "us"), designs, builds and hosts websites for small businesses in South Africa. We are the "responsible party" for your personal information under the Protection of Personal Information Act, 2013 (POPIA).

What we collect

When you build a free preview

Your business name, what you do, your town, the services you offer, how customers find you, the style you like, and your name, WhatsApp number and (if you give it) email address. In the second set of questions we may also ask for your address, opening hours, team names, prices and reviews you've received, so your full preview looks like your real business.

When you upload files

Photos, logos, menus, price lists, company profiles and voice notes, only if you choose to add them. See Your photos and files.

When you ask for a call back

Your name, phone number, business name (optional), the best time to call and the plan you're interested in.

When you become a client

Your billing details are handled by our payment provider, Paystack. We see that a payment was made and its amount, but we never see or store your card number.

When you visit our website

We count visits and which buttons are used, so we can improve the page. This uses a random code that lasts only while your browser tab is open, plus the page you came from and whether you're on a phone or a computer. It doesn't include your name, number or IP address, and it can't be used to identify you.

Your photos and files

We know your photos and logo matter. Here's exactly what happens to them.

• Sent securely. Files travel over an encrypted (HTTPS) connection from your phone or computer to our storage.
• Kept out of sight. Each file is stored at a long, random web address that isn't listed or searchable anywhere. Only our team, using a password-protected dashboard, can see which files belong to which business.
• Only for your website. We use them to build your preview and your website. We don't share them, sell them, or show them in our own adverts or portfolio unless you say yes first.
• Deleted if you don't go ahead. If you don't sign up, we delete your files within 6 months. You can also ask us to delete them sooner, at any time.
• Prefer not to upload? That's fine. You can send them to us on WhatsApp instead, or skip that step. Your preview will still work.

Please only upload photos you're allowed to use, and make sure anyone clearly shown in a photo is happy to appear on your website.

Why we use your information

• To build and show you your free website preview, and save your progress so you can come back to it.
• To contact you about your preview or call-back request, by WhatsApp, phone or email.
• To build, host, maintain and support your website once you're a client, and to bill you.
• To understand which parts of our own website work, so we can improve it.
• To meet our legal and tax duties.

We rely on your consent (you choose to fill in the questions and upload files), on what's needed to give you the service you asked for, and on our legitimate interest in following up an enquiry you started. We won't send you marketing messages unrelated to your enquiry without your permission, and you can tell us to stop contacting you at any time.

Who else handles your information

We use a small number of trusted service providers to run our business. They may only use your information to provide their service to us.

We never sell your information. We'll only share it with anyone else if the law requires us to.

Where your information is stored

Some of our providers store information outside South Africa: our database is in the United Kingdom, and our file and hosting providers run servers in other countries. We only use providers that protect information to a standard similar to POPIA, and the transfer is needed to give you the service you asked for (POPIA section 72).

How long we keep it

• If you don't sign up: your answers, contact details and files are deleted within 6 months of your last activity.
• If you become a client: for as long as we provide your website, plus the time we must keep records for tax and accounting (usually 5 years for billing records). Website files are deleted 30 days after your service ends.
• Website visit counts: kept for up to 13 months. They don't identify anyone.

Your rights

Under POPIA you can:

• ask what information we hold about you, and get a copy;
• ask us to correct anything that's wrong;
• ask us to delete your information, or object to us using it;
• withdraw your consent at any time (this doesn't affect what we did before).

Just WhatsApp us on 071 795 3544 or email us. We'll reply within 30 days, and usually much sooner. If you're unhappy with how we've handled your information, you can complain to the Information Regulator.

Your browser

We don't use advertising or tracking cookies. Our preview tool saves your answers in your own browser so you don't lose them if you close the page, and our website keeps a random code for the length of your visit (see above). You can clear both by clearing your browser's site data.

Keeping it safe

Information is sent over encrypted connections, our database only lets signed-in team members read leads, and we keep the number of people with access as small as possible. No system is perfectly secure, but if something ever went wrong that affected your information, we'd tell you and the Information Regulator as POPIA requires.

Changes to this policy

If we change how we use your information, we'll update this page and the date at the top. For important changes, we'll tell our clients directly.
